Biometric Access & Attendance Recording Solution Integrated with Payroll, eBAAR

Ekklavya helped an Industrial Group having Factories across the country to capture attendance and synchronize this data centrally and integrated with their Payroll system on a real time basis. Similar solution provided to Hospitals and Education institutes.


Client is a Big group in KSA having many factories at multiple locations. Each Group Company has it’s own Departments and Cost Centers with employee movement across group companies
They wished to install biometric devices and face readers to capture the attendance & movements and to overcome proxy attendance
Data of all group companies located in different cities had then to be collectively synchronized in a Central Database for consolidated monitoring & analysis
Auto synching of data with Payroll was a MUST
Our Solution

Create any no. of Group Companies, Departments and sub-depts, Cost Centers upto any level
“N” number of shifts can be created including 24 hour shift and over-night shifts. Shift Rotation policy can be defined. Within a shift there can be multiple breaks, specific weekly offs. ‘Grace’ timing to decide for late Attendance and the Overtime, if applicable can be specified
All official movements on duty can be justified to avoid deduction from working hours and salary.
HR of each Dept can view OWN employees only as per the organization hierarchy ensuring confidentiality
Complications / Requirements

The number of employees was very high, with over 200 devices installed
The employees were from various countries thus, requiring capture/alerts of the passport, visa, etc.
There were Multiple Shifts and Employees worked on Rotation
During RAMADAAN, the shift timings changed and were separate for Muslim and Non-Muslim employees
Rules for ‘’Late-in’ were factored for males & females
Employees could walk-in from different Gates and so they were allowed entry/exit from multiple devices

Live real time data of present, absent, late, missing punches is available for viewing at a glance.
The sophisticated network of Biometric Devices – enrolling centrally at HR and remotely activating / de-activating the templates to selected gates saved lot of effort and time and enabled control points to be set.
Data Export & integration for payroll accounting has made the job of accounts easier
A HOST of REPORTS are available with graphs for printing and analysis
